This Acceptable Use Policy (“Policy”) governs the use of hosted email services (“Services”) provided by UBN to its customers (“Customer”, “you”, or “your”).
By using UBN hosted email services, you agree to comply with this Policy.
1.1 UBN hosted email services are provided for legitimate business or personal communication purposes as agreed under your service contract.
1.2 The Services must not be used in any way that:
Violates applicable laws or regulations
Infringes the rights of others
Compromises the security or stability of UBN systems
Damages UBN’s reputation or network integrity
2.1 Customers must comply with all applicable local, national, and international laws, including but not limited to:
Data protection and privacy legislation
Anti-spam regulations
Intellectual property and copyright laws
Computer misuse legislation
Anti-harassment and equality laws
2.2 The Customer is solely responsible for ensuring that its use of the Services complies with all applicable legal requirements.
The following activities are strictly prohibited when using UBN hosted email services:
Sending unsolicited bulk emails (“spam”).
Sending marketing emails without appropriate consent.
Operating mailing lists without lawful permission.
Email bombing or mail flooding.
Sending or storing content that is unlawful, defamatory, fraudulent, threatening, abusive, harassing, discriminatory, or obscene.
Distributing pornographic or illegal material.
Promoting criminal activity.
Attempting to gain unauthorised access to any system, mailbox, or data.
Forging email headers or impersonating another individual or organisation.
Distributing malware, ransomware, viruses, or malicious code.
Attempting to probe, scan, or test vulnerabilities of UBN systems without authorisation.
Conducting activities that degrade, overload, or impair UBN infrastructure.
Operating open relays or misconfigured mail systems that enable spam distribution.
Using the service in a way that results in IP blacklisting.
Transmitting copyrighted material without permission.
Sharing proprietary or confidential information without authorisation.
4.1 The Customer is responsible for:
All activity conducted via their email accounts.
Maintaining strong passwords and account security.
Implementing appropriate internal policies for their users (if applicable).
Ensuring proper consent is obtained for marketing communications.
Maintaining backups of important emails and data.
4.2 UBN is not responsible for loss of emails, attachments, or archived content unless explicitly stated in a separate written agreement.
5.1 UBN reserves the right to monitor email traffic metadata and system activity for:
Security threats
Spam detection
Service abuse
Compliance with this Policy
5.2 Monitoring will be conducted for legitimate business and security purposes only and in accordance with applicable data protection laws.
5.3 UBN does not routinely access the content of customer emails unless:
Required for legal compliance
Necessary to investigate a security incident
Required to respond to abuse complaints
Authorised by the Customer
5.4 Where reasonably practicable, the Customer may be notified of investigations involving their account.
6.1 UBN reserves the right to suspend or restrict Services immediately where:
This Policy is breached.
There is suspected spam or abuse.
There is a security threat to UBN infrastructure.
UBN’s IP addresses are blacklisted due to Customer activity.
Payment obligations are not met.
The services is provide as a free services (no contract or payment).
6.2 In cases of serious abuse (e.g., spam campaigns, malware distribution, illegal activity), termination may occur without prior notice.
6.3 UBN shall not be liable for any loss of data, business interruption, reputational damage, or financial loss resulting from suspension due to Customer breach.
7.1 Customers must promptly notify UBN if:
An account is compromised.
They become aware of misuse of their services.
They receive abuse complaints relating to their account.
7.2 Failure to report known compromise may result in suspension.
8.1 UBN processes personal data in accordance with its Privacy Policy and applicable data protection laws.
8.2 The Customer remains the data controller of any personal data transmitted through the hosted email service (unless otherwise agreed in writing).
8.3 UBN acts as a data processor where applicable.
9.1 UBN provides hosted email services on a best-efforts basis.
9.2 UBN does not guarantee uninterrupted, error-free, or completely secure email transmission.
9.3 UBN shall not be liable for:
Delayed, filtered, or blocked emails
Blacklisting caused by Customer activity
Third-party filtering decisions
Loss of business due to service suspension under this Policy
10.1 UBN reserves the right to amend this Acceptable Use Policy at any time.
10.2 Continued use of the Services constitutes acceptance of the updated Policy.
10.3 It is the users resonsbilty to regualty check this page for updates.
